🚨 Avoid These Common Mistakes When Applying for an Apostille 🚨

Applying for an apostille might seem simple, but even minor mistakes can lead to delays, rejections, or additional costs. To ensure a smooth process, avoid these common pitfalls:

1️⃣ Submitting the Wrong Document

Not all documents are eligible for an apostille. Ensure you’re providing the correct version—whether it's an original or a certified copy—based on the specific requirements of your destination country.

Providing an outdated document can also be regarded as the wrong document.

For example,

  • Documents from Virginia must have been issued within the last 12 months.

  • Documents from Texas must have been issued within the last five years.

  • Vital records from Alabama must bear the signature of the current Alabama State Registrar.

  • ... ...

2️⃣ Providing Incomplete or Incorrect Information

Double-check that all names, dates, and details on your document match exactly with your identification and official records. Even a small typo can cause unnecessary complications. Especially for those notarized documents, make sure the notary's full name on his/her stamp is the same as the record in the government's system.

3️⃣ Forgetting Required Notarization or Having an Improper Notarization

Some documents must be notarized before they can be apostilled. Skipping this step can result in delays, so always confirm whether notarization is required.

What is a proper notarization? It should contain these 7 elements. Check this post.

4️⃣ Notarizing Documents That Cannot Be Notarized

Certain documents—such as vital records like birth, death, marriage/divorce certificates, court documents, company registration records, and FBI background checks—cannot be notarized by a notary public. Submitting a notarized document will lead to rejection.

There is one exception for vital records from New Hampshire, even they're vital records but they have to be notarized before sending for apostille.

5️⃣ Ignoring Country-Specific Requirements

Each country has different apostille requirements. Research thoroughly or consult an expert to ensure your document meets all necessary criteria. For example, some countries only accept FBI background checks issued within the last 90 days.

6️⃣ Waiting Until the Last Minute

Apostille processing times can vary, especially during peak seasons or government office staff shortages. There might be a lot of stress in a limited compressed timeline. Unexpected delays can happen, so start early to avoid unnecessary stress and missed deadlines.

7️⃣ Choosing an Unreliable Service Provider

Not all apostille services are equally reliable. Choosing a trusted provider with experience and a solid reputation can make all the difference in ensuring a smooth, hassle-free process. Feel free to check the testimonials from our clients.
